Spacemate Company respects your privacy. This policy explains our practices when you use www.spacemate.ng, including checkout, escrow, vendor onboarding, Design tools, and support.
Overview
Spacemate Company (“Spacemate”, “we”, “us”) operates www.spacemate.ng — a curated marketplace for home furnishings, décor, fittings, and fixtures in Nigeria. We also provide Design tools (style quiz, palettes, mood boards, and room dimensions) to help you plan purchases.
This Privacy Policy explains what personal data we collect, how we use it, who we share it with, and your choices. It applies to buyers (including guest checkout), vendors, vendor managers, and visitors who use our website or create an account.
By registering, placing an order, applying to sell on the platform, or otherwise using Spacemate, you acknowledge this policy. If you do not agree, please do not use the service.
Who is responsible for your data
Spacemate Company is the data controller for personal data processed through the Spacemate platform, except where a vendor processes buyer order data solely to fulfil an order (in which case the vendor is an independent controller for that fulfilment activity).

Data we collect
Depending on how you use Spacemate, we may collect:
- Identity and contact — name, email address, phone number, delivery address, and profile details you provide.
- Account and authentication — login credentials (passwords are handled by our auth provider; we do not store plain-text passwords), session tokens, and role (buyer, vendor, vendor manager, or admin).
- Orders and payments — cart contents, order history, payment references and status from Paystack, escrow status, shipping selections, and dispute records.
- Guest checkout — email address and order details when you purchase without creating an account.
- Vendor and manager applications — store or trading name, business registration details, bank account information for payouts, product listings, social links, and documents you upload.
- Vendor promotions — discount codes you create or apply, and usage counts.
- Design and account preferences — style quiz answers, saved palettes, mood boards, room dimensions, bookmarks, and similar content you choose to save.
- Vendor follows — vendors you choose to follow on the platform.
- Communications — messages you send through our contact form, support enquiries, vendor–buyer messages facilitated on the platform (including rate-limited seller inquiries), and evidence uploaded in disputes.
- Reviews and community content — ratings, review text, space reveals, lookbooks, and other content you publish.
- Vendor analytics — product views, cart and board events, and traffic source labels tied to a first-party session identifier.
- Technical and security data — IP address, browser and device type, approximate location derived from IP, log data, security watch events, and product interaction events used for security, fraud prevention, and service improvement.
How we use your data
We use personal data to:
- Create and manage your account and authenticate you securely.
- Process orders, collect buyer payment via Paystack, hold funds in escrow, calculate vendor and manager shares (including tax withholdings), release escrow when order conditions are met, and handle buyer refunds.
- Record amounts owed to vendors and managers after escrow release and coordinate bank settlement outside the automated checkout flow.
- Arrange shipping and share fulfilment details with vendors and couriers you select.
- Operate vendor onboarding, moderation, commission rules, and vendor-manager referral assignments.
- Send transactional messages (order confirmations, shipping updates, application decisions, password resets, and dispute notices).
- Provide Design tools and personalise your experience where you have saved preferences.
- Investigate disputes, enforce our Terms, detect abuse, and protect the platform.
- Comply with law, respond to lawful requests, and maintain accounting and tax records.
- Improve reliability and performance of the website (aggregated or de-identified where possible).
Legal bases (Nigeria)
We process personal data where necessary to perform our contract with you (for example, fulfilling an order), where required by law, where necessary for our legitimate interests in operating a secure marketplace (balanced against your rights), and where you have given consent (for example, optional marketing if we offer it).
Nigeria’s data-protection framework includes the Nigeria Data Protection Act 2023 and the Nigeria Data Protection Regulation (NDPR) 2019. We aim to process personal data lawfully, fairly, and transparently, and to keep it accurate and limited to what we need.
International processing
Some of our service providers may process data outside Nigeria (for example, in the European Union or United States). Where this occurs, we rely on appropriate safeguards such as contractual protections and the provider’s security standards. By using Spacemate, you understand that limited data may be transferred to provide the service.
How long we keep data
We retain personal data for as long as your account is active and for a reasonable period afterward to meet legal, tax, accounting, and dispute-resolution requirements. Order and payout records may be kept for several years where required by law or to defend legal claims.
You may request account deletion subject to limits — for example, we may need to retain order, payout, or dispute records after closure.
Security
We use technical and organisational measures including HTTPS encryption, access controls, row-level database policies, rate limiting, and audit logging for sensitive admin actions. No online service is completely secure; please use a strong, unique password and notify us promptly if you suspect unauthorised access.
Your rights
Subject to applicable law (including the NDPR), you may have the right to request access, correction, deletion, restriction, or portability of your personal data, or to object to certain processing. You may also withdraw consent where processing is consent-based.
Submit requests to support@spacemate.ng. We may need to verify your identity. We will respond within a reasonable time and in line with legal requirements.
Children
Spacemate is intended for users aged 18 and over. We do not knowingly collect personal data from children. If you believe a minor has provided data to us, contact us and we will take appropriate steps to delete it.
Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top of the page will change when we do. Material changes may also be communicated by email or a notice on the site. Continued use after the effective date constitutes acceptance of the updated policy.
